Presentation Information
To view your presentation information: Please click on a regional conference link below to be redirected to the appropriate Online Planner where you can login to view your presentation information, such as speakers names, venue, room information (including A/V), date, time, and description.
Please remember to login using the User ID and Password (not as a Guest User) you created in submitting your proposal in order to view the details of your presentation.
Updating presentation information: The deadline for updating your presentation information has passed.
Updating personal information: Please make sure your personal information (email address and physical mailing address) is correct. This information is how NCTM communicates with you, as well as any other important mailings. To update your personal information please click the appropriate link above to be redirected to the appropriate Online Planner where you can view and edit your personal information (please remember to login using your User ID and Password).

Audio Visual
Your presentation has been scheduled based on your initial audio visual request. Only equipment requested during the proposal submission process will be provided by NCTM onsite. After you accept, if you need additional audio visual equipment, it is your responsibility to order and pay for the additional equipment.
If a laptop is required, you must bring your own.
If you are bringing a MAC, please bring your own cable to connect it to the LCD projector. MAC cables may NOT be available on site, so please be sure to bring the necessary adaptors. A fee may be charged by the facility for renting cables and adaptors onsite. You will be accountable for any applicable fees.
Internet will not be provided in individual meeting rooms. If you need to show web-based information, click here for instructions on how to simulate web access. Internet access will be available at the Cyber Café in the exhibit hall for attendees and speakers who wish to check their email.

Seating Capacity & Room Set
Click on the appropriate conference’s city name to view the appropriate seating capacity table.
All rooms will be pre-set for each day’s presentations. Do not move furniture, or tape or hang items on the walls. Below are examples of Session and Gallery Workshop room sets.
- Sessions (60 minutes) represent a common format where the speaker relates his or her ideas to an audience. The speaker may use audiovisual equipment, technology, and handouts, and he or she may include audience participation. Rooms are set theatre style and vary in size.
- Gallery Workshops (90 minutes) have rooms set with round tables for hands-on work and additional gallery seating around the perimeter of the room. The gallery participants will receive the print materials and observe the workshop in a fashion similar to a classroom observer.

Gallery Workshop Guidelines
Please review the following guidelines as you prepare your Gallery Workshop presentation for the 2009 NCTM Regional Conferences & Expositions.
- Gallery Workshops consist of round tables for 60–80 for hands-on participants and gallery seating of approximately 20–150 participants around the perimeter of the room (see capacity list for actual numbers). The presenter is responsible for preparing hands-on materials for all seating at round tables (check the seating for your assigned room) and handouts for the total capacity of the room, which includes all round table seating and gallery seating.
- Your primary responsibility is to present a workshop to 60-80 people. You may, however, involve the gallery in any way or extent that you wish. Suggestions for gallery participation include the following:
- Ask the gallery participants to work a problem
- Have gallery participants talk quietly with one another about a problem
- Have gallery participants reflect on the manner in which a question was posed, or how the sequence of activities was presented
- A volunteer assigned by the Local Arrangements Committee will be assigned to your room to assist if necessary.
- Workshop reimbursement will be based upon the indicated capacity of your room (please see Reimbursement for Gallery Workshops).

Prior to the conference, if you find that you must cancel your presentation, please contact NCTM Headquarters via email at regconf@nctm.org as soon as possible so a substitute may be found.

It is important that NCTM has correct contact information for all speakers. You may access your presentation information via the links below at any time.
To update your contact information (name, address, telephone number, e-mail address, and professional affiliation) visit the appropriate conference web site. Such changes can be made between January and October of 2009.
Any changes to your contact information received after April 1, 2009 will not be listed in the program book.

Cospeakers
It is the responsibility of the lead speaker to convey all necessary information to the cospeakers; NCTM does not contact cospeakers.
All cospeakers must register and pay the appropriate registration fee. (Click here for Registration Information for cospeakers.) Please communicate this fact to your cospeaker(s). If you would like to add a new cospeaker to your session after you have already submitted your proposal, please contact NCTM HQ with the following information: Cospeaker Full Name, Cospeaker Mailing Address, Cospeaker Phone Number, Cospeaker Email, Cospeaker Affiliation, and Affiliation Address. Co-speakers submitted after April 1, 2009 will not be printed in the Conference Program.

Copyrighted Materials & Recordings
NCTM policy prohibits the use of copyrighted materials in your presentation unless the holder of the copyright has granted prior permission. This also applies to music that is played during the presentation.
Written permission to tape or record programs must be obtained directly from the speaker involved at least thirty days before the NCTM Regional Conference and Exposition. The request must contain a statement indicating the intended use of such a recording or videotape. The person making the request should also inform the NCTM Headquarters Office in writing at least two weeks prior to the NCTM Regional Conference and Exposition.

Handouts
Handouts cannot be made available electronically through NCTM. If your email address is printed in the Program Book (you should have checked the appropriate box in your proposal form), interested participants can contact you for an electronic copy of your handout. During your presentation, you may also provide a URL to handouts or resource materials.

NCTM Logo
Use of the National Council of Teachers of Mathematics (NCTM) logo is restricted to NCTM employees and individuals who have received written permission from the NCTM headquarters office. Due to trademark restrictions, specific guidelines must be met for permission of use to be granted. If at any time NCTM has knowledge of unauthorized or inappropriate use of the NCTM logo, legal action may be taken against that party. Upon written request, art related to the Conference may be sent to speakers to include in their presentation.

On-site Procedures - The Day of Your Presentation
You must check in at the Speaker Check-In booth two hours prior to your presentation. The booth will be located in the NCTM registration area at the Convention Center and open from 7:00 AM – 3:00 PM on Thursday and Friday.
The day of your Presentation:
- Arrive at least 20 minutes before your presentation starts. Ensure that your Audio Visual equipment is working properly.
- Do not change the room setup or tape or hang items on the walls.
- Each meeting facility enforces strict fire codes. No standing or sitting on the floor will be allowed. The maximum capacity of the room will be listed in the Program Book and on signs outside the room. Violations of the fire code could cause the conference to be shut down.
- Volunteers will greet you, help clear out attendees from the previous presentation, monitor incoming traffic, and count your attendance.
- All presentations are open to registered attendees and the media.

Program Book
The Program Book will be available to all registrants at the conference. The program information will be available on the NCTM website as well. The following items will be listed for each presentation: title, description, grade band, the presentation format, speaker names, email addresses (when directed by speaker) and affiliations.

Registration Fees
The lead speaker listed for each presentation will automatically be registered by NCTM free of charge. A registration packet, including your badge, will be mailed to you prior to the conference. All cospeakers and session organizers who are not lead speakers will need to register and pay the appropriate registration fee.

Reimbursement (for Gallery Workshops)
Only presentation types designated in the Program Book as gallery workshops qualify for reimbursement of materials, handouts, and shipping costs incurred. Only the lead speaker listed for the presentation can request a reimbursement via the reimbursement form. The reimbursement form should be submitted, with receipts, within 30 days of the conference.
Gallery Workshop Reimbursement: $2.00 per participant, up to the seating capacity of the room(to find the seating capacity for your workshop, click here).

Sessions do not qualify for reimbursement; however, handouts are still encouraged.

Student Participation
If a presentation needs student participation to be effective, the speaker must make his/her own arrangements for their appearance.
Please note:
Due to the size and nature of the NCTM Regional Conference and Exposition, this conference is not the appropriate setting for children under 16 years of age. Your hotel concierge will be able to provide recommendations for activities for children while you are attending the conference. We appreciate your understanding and cooperation.

Tips for a Better Presentation
- You should actively engage the listener and provide opportunities for participants to observe teaching modes other than a lecture.
- Your presentation method should be consistent with and model strategies that NCTM advocates for classroom teaching (Example: Principles and Standards for School Mathematics).
- Please take 30 seconds to introduce yourself to the audience. If you need help in distributing materials during your presentation, ask one of the participants.
- Room capacities must comply with the venue’s safety guidelines as administered by Fire Marshals. Local Arrangements and Program Committee volunteers are responsible for ensuring your and participants’ safety. Please assist volunteers to ensure rooms do not exceed capacity. Do not encourage participants to sit on the floor or remain in the presentation room if there is not a seat available.
- Language that insults or degrades any group is inappropriate and should not be used.
- Be sure your transparencies or PowerPoint slides are readable in a large room. Use a bold font size of at least 24 point.
- Handouts should be printed clearly. Bring a sufficient quantity for your room capacity. Prepare a brief, one-page, handout that includes key elements/ideas for the presentation. Including an e-mail address or web-site from which participants may access more detailed information is a cost-effective means by which speakers can meet participants’ need for follow-up information.
- Gallery workshops are intended to provide a portion of the audience, those seated at the round tables, with an interactive, hands-on experience, while those in the gallery (seated in rows along the walls of the room) watch. Plan gallery workshops to include significant interaction among participants seated at the round tables.
- As a courtesy to the speaker following your session, end on time. If participants wish to interact with you after your session, explain you must first make way for the next speaker.

Simulating Web Access
The Internet is not accessible in presentation rooms. You can simulate using the Web even when an Internet connection is not available. Here's how to save pages complete with links three levels deep on your computer and access them without an Internet connection. NOTE: This method does not work for all content, so please test your pages.
- Open Microsoft Internet Explorer.
- Open the URL you want to use in your presentation.
- Click on Favorites.
- Click on Add to Favorites.
- Put a check mark in the box preceding "Make Available Offline."
- Click on Customize.
- Click on Next.
- If the page you are showing contains links that you would also like to access, put a mark in the radio box before "Yes."
- You are allowed to save each of these pages as many as three links deep. If you want to access more than three links deep, you will need to repeat this process with every third link in the sequence. Indicate how many links deep you want to download.
- Click Next.
- Put a mark in the radio box preceding "Only when I choose synchronize from the tools menu."
- Click Next.
- If the page you are accessing requires a password, put a mark in the "Yes" radio box and fill in the required login and password information.
- Click Finish.
- Clicking OK will place your link in Favorites and the pages as well as links three-deep will be available to you when you are working offline.
- If you discover that any of the links on your page are not available to you offline, simply go to the page you want to be able to use and repeat this process.
- Check to make sure your pages are available offline by closing the browser, disconnecting from the Internet and restarting your computer. Then go back into Microsoft Internet Explorer, indicate you will work Offline, and click on Favorites. Your pages should appear under Favorites and be ready for you to access. The pages must be saved on the same computer you will be using for your presentation.
